OUTLOOK SETUP
Set up your signature in Outlook
Choose the Outlook you use, paste your signature, then check a sent test email.
Finish your details in the generator and copy your signature. In Outlook, use normal paste to keep its formatting. Suggested signature name: FCTCI — Work.
Your entries stay here while you switch views. Copying does not install a signature or change your Outlook settings.
Which version do I use?
- Outlook open in a browser: choose Outlook on the web.
- Windows app with Settings in the upper right: choose New Outlook for Windows.
- Windows app with a File tab: choose Classic Outlook for Windows.

- Open Settings → Accounts → Signatures.
- Choose the intended account if an account selector is shown, then add a signature. Name it FCTCI — Work.
- Paste the copied signature into the editing box using normal paste, not paste as plain text.
- Choose whether to use this signature for new messages and for replies/forwards.
- Save, then start a fresh message and follow the test checklist below.

- Paste normally into its editor so the formatting is retained.
- Set its use for new messages and replies/forwards, then Save.
- Start a fresh message from that account and follow the test checklist below.

- Open File → Options → Mail → Signatures. Alternatively, start an email and choose Signature → Signatures.
- Create a new signature named FCTCI — Work, then paste normally into its editor.
- Under the default-signature options, choose the intended E-mail account.
- Select this signature for New messages and, if wanted, Replies/forwards.
- Confirm with OK. Start a fresh message from the selected account and check it below.

Check a test email
- Compose from the intended account. Check your name, email, optional contacts, logos, links and spacing.
- Send yourself a test email and inspect the received copy. Check a reply too.
- Check each Outlook client and account you use. Availability can differ; this generator does not synchronise signatures.
When your details change, edit them here, copy again and replace the whole signature in Outlook.
Troubleshooting
- Only plain text, or visible HTML tags
- Copy the formatted signature again and use normal paste. Do not paste HTML source. If browser copying is blocked, use Manual copy above.
- The signature does not appear automatically
- Check the sending account and defaults for new messages and replies/forwards. Start a fresh message after saving.
- Two signatures appear
- Check for an old signature in the editor/message and another automatic signature. Ask IT before changing a centrally managed signature.
- A logo is missing in the generator
- This concerns loading the generator's images. Ask IT to check the app's image files; changing Outlook settings will not fix the generator preview.
- A logo is missing in received mail
- Logos use remote image URLs, which a recipient's mail settings may block. In classic Outlook, a trusted message's information bar offers Download Pictures. See Microsoft's picture guidance (opens a new tab). Keep security/privacy protections enabled; ask IT if pictures still fail.
- The instructions do not match your screen
- Check Which version do I use?, then follow the Microsoft guide linked under that version. Menus may vary by account or update.
- The wrong details or sending account appear
- Edit your details, copy again and replace the signature for the intended Outlook account. Selecting defaults in one client does not establish them in every client.
